Position Summary:
The benefits specialist responsible for the day-to-day coordination, administration and compliance of employee benefits programs (group health, dental, vision, short-term and long-term disability, COBRA, flexible spending, Health Savings Account (HSA), life insurance, retirement plans, wellness, PTO programs, etc.). Maintains advanced knowledge of benefit programs and recommends program changes and general policy and procedure changes as needed. Gives advanced technical assistance to stakeholders.
Key Responsibilities:
- Oversees the day-to-day administration of various benefit programs to ensure the timely and accurate delivery of all benefits and services.
- Handles escalated benefit issues. Researches, corrects issues or communicates information and follows up with employee and vendors.
- Completes required documentation to meet legal and compliance requirements.
- Maintains comprehensive and detailed records for all programs. Maintains legal plan documents, files, reports and employee documentation.
- Frequently drafts various benefit communications and ensures legally required communications are up-to-date and distributed appropriately
- Creates and maintains written and electronic educational/informational materials and resources as well as materials, articles, etc. for the purpose of promoting benefits programming.
- Coordinates educational sessions, on-site representative appointments and provides other informational resources to stakeholders.
- Makes recommendations affecting policy or procedural changes. Designs and delivers program training as needed.
- Tracks regulatory and legislative changes affecting benefits programs and recommends updates and actions to ensure compliance.
- Assists in the management of third party vendor contracts & performance. Assures vendors are meeting contractual and performance expectations.
- Oversees maintenance of employee benefits files, maintains group benefits database and updates employee HRIS records as needed.
- Ensures the accuracy of all benefits enrollments in the HRIS to provide vendors with accurate eligibility information.
- Provides new-hire benefits orientation and education sessions.
- Liaises with payroll and accounting regarding 401(k) inquiries from managers and employees relating to enrollments, plan changes and contribution amounts.
- Other duties as assigned.
- Plan and execute the annual benefits open enrollment in collaboration with the Sr. Manager of Benefits
- Ensures timely completion and submission of required reports and audits (i.e. Form 5500s) including providing data to consultants and auditors for testing and preparation of reports
- Responds to benefits inquiries from managers and employees on plan provisions, benefits enrollments, status changes and other general inquiries.
- Assists with the monthly billing reconciliation of carrier invoices.
- Primary contact for maintaining and administrating benefits programs in partnership with benefits vendors for the research, troubleshoot, and resolving escalations for benefits inquiries.
Qualifications:
- Bachelor's degree, in human resource management or related field.
- Five or more years of related benefits or employee benefits administration or equivalent combination of relevant experience.
- Prior experience with self-funded benefit programs preferred.
- Excellent verbal and written communication skills with ability to communicate effectively with individuals at all levels of the organization and outside the organization
- Computer proficiency and advanced technical aptitude with the ability to use Microsoft products, including Excel, Word, PowerPoint; experience with HRIS and benefits databases.
- Effective planning and priority setting. Ability to manage several complex projects simultaneously while working under pressure to meet deadlines.
- Ability to use technical expertise to assist stakeholders, managers, and staff to understand compensation and benefits
- Business acumen with ability to understand complex organizational environment
- Ability to analyze and research problems in order to develop a course of action
- Strong quantitative and detail orientation
- Strong organizational and planning skills
- Strict compliance with deadlines, multitasking and coordination of internal and external resources
- Knowledge of all pertinent federal and state regulations, filing and compliance requirements, both adopted and pending, affecting employee benefits programs, including the ACA, ERISA, COBRA, FMLA, ADA, Section 125, Medicare, COBRA, and Social Security and DOL requirements.
- Ability to work independently or as part of a team
- Discretion and sensitivity to confidential information is required
